Alliance for Children and NC Pre-K Support Description

Purpose

The Part-time Office Support Personnel is responsible for general receptionist, clerical and secretarial duties for the Alliance for Children office and the NC Pre-K Program. The employee is accountable to the Alliance for Children Executive Director, Executive Committee and the Board of Directors.

 

Job Responsibilities

 

Support of Office Operations:

Under general supervision, performs clerical duties including (but not limited to) answering phones, greeting the public, faxing/mailing, filing and record management, data entry and document preparation:

  • Answers multi-line phone system, checks and responds to voice mail, screens calls and takes/distributes timely, accurate and legible messages;
  • Make copies, e-mails, mails or faxes, ensuring timely receipt;
  • Participates in company functions, and promotes team building and positive employee relations;
  • Completes assignments by creating finished documents that are professional in appearance and accuracy;
  • Communicates (written and verbally) with the public, board members, committee members, contractors, vendors, volunteers, parents, and
  • Responds to questions from the community regarding Alliance for Children and NC Pre-K;
  • Assists in set up for meetings as needed;
  • Processes birthday cards for board and other community members as needed;
  • Assists with board packets;
  • Performs additional duties as

 

Support of NC Pre-K Office Operations:

Under general supervision, performs clerical duties for NC Pre-K Office as needed and as time allows:

  • May be asked to assist NC Pre-K Administrator with general clerical duties;
  • Assists with Pre-Kindergarten Registration process, to include but not limited to, data entry into database, collecting information and verifying that information is correct and complete, ;
  • Assists with data entry into the web-based NC Pre-K System efficiently and accurately;
  • Greet NC Pre-K families and assist them with NC Pre-K applications and required paperwork for eligibility. This may be by phone or in
  • Performs additional duties as

 

MINIMUM QUALIFICATIONS OR STANDARDS REQUIRED TO PERFORM ESSENTIAL JOB FUNCTIONS

Qualifications/Requirements

  • Possesses High School diploma (some college preferred) and two years’ experience in office support.
  • Demonstrates ability to work independently and to function with a team;
  • Displays strong organizational and interpersonal skills;
  • Demonstrates solid computer skills in Microsoft Office Programs;
  • Demonstrates solid knowledge of typical office equipment (postage meter, copiers, printers);
  • Demonstrate a high level of written and verbal communication skills;
  • Has a reliable car, a valid driver's license and a good driving record; and the willingness to travel inside and outside Union County for meetings and training programs;
  • Bilingual – Spanish/English preferred

 

Physical Requirements: Must be physically able to operate a variety of machinery and equipment including computers, calculators, printers, binding sets, copiers, postage machines, etc. Must be physically able to operate a motor vehicle. Light Work usually requires walking or standing to a significant degree. However, if the use of arm and/or leg controls requires exertion of forces  greater  than that for Sedentary Work and the worker sits most of the time, (the job is rated for Light Work).

 

Data Conception: Requires the ability to compare and/or judge the readily observable, functional, structural, or compositional characteristics (whether similar or divergent from obvious  standards) of data, people, or things.

 

Interpersonal Communication:  Requires  the  ability  of  speaking  and/or  signaling  people  to convey or exchange information. Includes giving instructions, assignments, or directions to  subordinates.

 

Language Ability: Requires the ability to read a variety of reports, correspondence, grants, budgets, forms, warranties, maintenance agreements, etc. Requires the ability to  prepare  correspondence, reports, forms, budgets, survey studies, etc. using prescribed formats and conforming to rules of punctuation, grammar, diction, and style. Requires the ability to speak to people and/or groups with poise, voice control, and confidence. Ability to communicate in Spanish a plus.

 

Intelligence: Requires the ability to apply principles of logical thinking to  define  problems, collect data, and establish facts required to draw valid conclusions; to interpret a variety of technical instructions, diagrams, etc; to apply rational systems to solve practical problems  and  deal  with  a variety of concrete variables in situations where only limited standardization exists; and to interpret instructions furnished in oral, written, diagrammatic, or schedule form.

 

Verbal Aptitude: Requires the ability to record and deliver information, to explain  procedures, to follow oral and written instruction. Must be able to communicate effectively  and  efficiently  in  a variety of technical languages, i.e., mechanical, geographical, demographic, etc.

 

Numerical Aptitude: Requires the ability to utilize mathematical formulas; to add and subtract; multiply and divide; utilize decimals, percentages, and college algebra; descriptive statistics.

 

Form/Spatial Aptitude: Requires the ability to inspect items for proper length, width, and shape.

 

Motor Coordination: Requires the ability to coordinate hands and eyes  rapidly  and  accurately in using office equipment and motor vehicles.

 

Manual Dexterity: Requires the ability to handle a variety of items such as knobs, switches, gears, office equipment, etc. Must possess good eye, hand, and foot coordination.

 

Color Discrimination: Requires the ability to differentiate between colors and shades of color.

 

Interpersonal Temperament: Requires the ability to deal with people beyond giving and receiving instructions. Must be adaptable to performing duties of working with the public, elderly citizens, handicapped citizens and managing a staff of employees  who  work  with  the  public.  Must  be adaptable to performing under stress and when confronted with persons acting under stress.

 

Physical Communication: Requires the ability to talk and hear: (Talking: expressing or exchanging ideas by means of spoken words. Hearing: perceiving nature of sounds by ear.) Must be able to communicate via a telephone.
