Description

The Bookkeeper is responsible for helping the Finance Director with administrative duties that deal directly with financial management of the agency and Human Resource department that include assisting personnel duties. Personnel duties include and are not limited to: assisting in overseeing policy and procedure for employees, keeping up to date and accurate personnel files, track PTO-Holiday hours, and update timesheets as needed and/or employee changes and submit to payroll processing company.

Financial ·         Assist with Budget preparation by collecting or researching data and entering in Excel spreadsheets.

·         Enter Accounts Payable in QuickBooks, designating GL account for each expense, assist in issuing checks, have checks signed by ED and board member, mail or distribute checks, Match payments to invoices for grants and other payments, and file paid invoices.

·         Post Account Receivables in QuickBooks ensuring receivables are recorded properly. Make copies of each check, prepare deposits, record deposits in QuickBooks designating each amount to GL account number correctly, and update reoccurring credit card information to keep current payment information on file.

·         Process credit card payments through bank and post payments in QuickBooks for all transactions related to donations or fundraising campaigns.

·         Process and enter payroll including PTO/Holiday time in payroll web interface with breakdown of Grant percentages for issuance of paychecks.

·         Enter weekly and monthly deposits in QuickBooks relating to organization including stores.

·         Create or update internal financial forms as assigned.

·         Prepare all necessary documents and backup paperwork for grantor reimbursements and cost reports for submission. Human Resource ·         To maintain and file timesheets for all staff and monitor paid time off.

·         To administer new employee forms including tax and I-9 forms and keep personnel file up to date and submit to payroll processing company.

·         Perform background checks and report results to hiring manager for pre-employment screenings.

·         Assist in monitoring and updating time sheets and grant(s) to be charged for each labor amount, and distribute paychecks as needed. . Stewardship ·         Support agency mission by staffing at least one event annually.

·         Support agency mission by participating in agency meetings and committees as requested by supervisor.

·         Promote and maintains professional relationships with agency staff, volunteers, and community partners. Professional Development ·         Maintain and develop skills and knowledge by attending training and ensuring licensure and certifications needed for the job are up to date. Other ·         Contribute to agency effectiveness by performing other duties as assigned.
